Documentation and Information Technology Division

In addition to the tasks of:

  • managing the monitoring system for sessions of the Government of the Republic of Slovenia and its working bodies;
  • preparing demanding analyses, developmental projects, information and reports in the IT area;
  • collecting, arranging and processing data for the development of more demanding materials in the IT area;
  • cooperating in the launching of the quality management system;
  • creating websites of the Secretariat-General in cooperation with the officer from the Secretariat-General responsible for public information;
  • administering the EU portal;
  • implementing expert supervision of calls for tender and preparing related technical documentation;
  • providing coordination of the supply and maintenance of computer equipment for the Secretariat-General,

 

the following departments carry out tasks within a narrower field of work or individual functions:

 

Main Office

Performs the tasks of:

  • registering and distributing incoming documents into appropriate documentation bases;
  • checking and rejecting regular and electronic mail if its delivery does not comply with regulations in force;
  • classifying documents and ensuring that the documentation bases of the Main Office are complete;
  • forwarding documents in electronic format from documentation bases at the request of employees, as well as the data stored in electronic format in documentation bases at the request of the Office of the Secretary-General;
  • receiving, scanning, recording and dispatching materials;
  • preparing materials for storage on microfilm;
  • transporting and delivering mail, files and other materials, money and other resources.

 

Documentation Archiving and Reporduction Section

Performs the tasks of:

  • processing material for storage on microfilm;
  • keeping evidence of recorded documents in safe film bins in the Lotus Notes documentation base;
  • searching for archived documents, at the request of employees, whenever they are not directly available on the information system of the Secretariat-General, regardless of the document’s medium, and forwarding those in electronic format;
  • preparing electronic documentary material for archives and archiving of electronic material;
  • digitising, at the request of employees, documents kept on microfilm and paper and forwarding them by internal electronic mail;
  • offering assistance, at the request of employees, with document searches in documentation bases in electronic format;
  • printing and disseminating documentary and archival material;
  • shredding documentary materials.

 

IT Section:

  • provides technical support and operates the information system of the Secretariat-General of the Government of the Republic of Slovenia and the Office of the Secretary General;
  • supervises the servers and their administration, support for workstations, communication equipment;
  • supervises and coordinates the work of outsourcing personnel with regards to the maintenance of hardware and software;
  • provides technical support for Government sessions;
  • establishes guidance and standards on the hardware and software used during Government sessions;
  • coordinates information systems of the ministries when supporting Government e-sessions.

 

User Applications Section 

Performs tasks related to:

  • developing, introducing and updating new user requests for upgrading application software (office administration in the Secretariat-General and e-sessions, office administration in the Office of the Prime Minister, car pool, fixed assets, library, telephone directory, etc.);
  • managing the office administration management project in the Secretariat-General and the Office of the Prime Minister (removing errors, making corrections, changing database settings on request and periodically physically removing documents marked to be erased),
  • educating and assisting users in their work with application software;
  • regulating access to documentation bases of the Secretariat-General and the Office of the Prime Minister, and other databases (MFERAC, STA, IUS-INFO, Register);
  • regulating access to the Government information system and the EU portal for the ministries and governmental services.
